Overview

Implementation Done Right — The First Time

Choosing the right print management or document management software is only half the journey. The implementation phase — how the software is installed, configured, integrated, tested, and adopted — determines whether the investment delivers its promised benefits or falls short of expectations. Smart Printing Solutions has deployed print management and document management software across hundreds of sites throughout Bangladesh since 2014.

Our implementation services are not a generic installation service. They are a consultative, structured engagement that begins with understanding your specific requirements and ends only when every user in your organisation is using the new system confidently and the system is delivering measurable results.

Platforms

Software Solutions We Implement

PaperCut MF

The world's most widely deployed print management platform, with native integration into Ricoh, Canon, HP, and other major MFP brands. We are an authorised PaperCut reseller and implementation partner in Bangladesh. Implementations cover server installation, Active Directory / LDAP user synchronisation, device-embedded application deployment, policy configuration, reporting setup, and end-user training.

Typical Duration: 2–5 days

Best For: Universities, corporates, hospitals, banks, government departments

PaperCut NG

Serves organisations that need powerful print monitoring and cost control without embedded MFP software. Implemented as a server-side solution with print queue monitoring, client popup notifications, and department reporting — ideal for organisations with standard network printers.

Typical Duration: 1–3 days

Best For: SMEs, organisations with standard network printers, budget-conscious deployments

YSoft SAFEQ 6

An enterprise-grade platform requiring careful server architecture planning, database configuration, and device integration work. Our YSoft SAFEQ implementation team follows YSoft's validated deployment methodology, ensuring enterprise-scale deployments are stable, resilient, and scalable from day one.

Typical Duration: 5–15 days

Best For: Large enterprises, financial institutions, multinational organisations

MyQ X

MyQ X's cloud-native architecture enables flexible deployment models including cloud-hosted, hybrid, and on-premises options. Implementation covers server or cloud instance setup, printer discovery and integration, user provisioning, authentication method configuration, and workflow automation.

Typical Duration: 3–7 days

Best For: Modern organisations, hybrid work environments, cloud-first IT strategies

Ricoh Streamline NX

Implemented as part of large Ricoh fleet deployments, deeply integrated with Ricoh MFP hardware through Ricoh's Smart Integration platform. Ricoh-certified implementation engineers configure Streamline NX to deliver seamless authentication, job routing, and reporting.

Typical Duration: 5–10 days

Best For: Large Ricoh fleet environments, government departments, enterprise

FOLDERIT DMS

A cloud-based Document Management System that connects an organisation's MFPs and scanners with a structured digital document archive. Implementation covers tenant configuration, folder structure design, access control setup, MFP scanning workflow configuration, and user onboarding.

Typical Duration: 3–7 days

Best For: Organisations seeking paperless office workflows, all industry sectors

Methodology

Our 5-Phase Implementation Methodology

Phase 1: Discovery

1–3 days

Stakeholder interviews with IT, finance, and department heads. Current print infrastructure documentation. Identification of specific requirements: authentication methods, cost allocation model, departmental policies, reporting requirements. Existing IT infrastructure assessment. Definition of success criteria.

Phase 2: Design

2–5 days

System architecture design, user synchronisation design, policy design, authentication method selection, reporting design, and integration design. Output: Design document reviewed and approved by customer before implementation begins.

Phase 3: Installation

1–5 days

Server software installation and configuration, database setup, Active Directory / LDAP synchronisation, printer and MFP integration, embedded application deployment, card reader installation, policy configuration, and integration with other systems.

Phase 4: Testing

1–3 days

End-to-end print workflow testing, policy enforcement testing, cost allocation testing, report generation testing, integration testing, user acceptance testing, and performance testing under high-volume scenarios.

Phase 5: Training & Handover

1–2 days

End-user training, administrator training, IT team training, complete documentation package, and intensive post-go-live support for the first 30 days.

Integration

Integration Capabilities

Active Directory / LDAP

All platforms support synchronisation with Microsoft Active Directory and LDAP directory services — automatically creating user accounts, applying group policies, and maintaining user database currency.

Cloud Storage

Scan-to-cloud workflows connect MFPs directly to SharePoint Online, OneDrive for Business, Google Drive, and Dropbox — enabling users to scan documents directly from any MFP panel.

ERP & Finance Systems

Data export integrations deliver cost allocation data in the format required by the receiving system.

Email

Scan-to-email workflows and automated report distribution via email are standard features across all implemented platforms.
